3. How We Use Your Personal Data (Lawful Bases)
We only use your personal data when the law allows us to under the UK GDPR. We process your data under the following legal frameworks:
We process Identity, Contact, and Property Access Data to schedule appointments, route our cleaners, gain entry to your premises, and execute your cleaning plan. The lawful basis for this processing is the Performance of a Contract with you.
We process Visual Data (before-and-after photographs) to verify job completion, log pre-existing structural damage, and maintain quality control. The lawful basis for this processing is our Legitimate Interests to protect our business from liability and ensure high service standards.
We process Financial and Transaction Data to collect payments via Stripe and manage our corporate invoicing in QuickBooks. The lawful basis for this processing is the Performance of a Contract and our Legal Obligation to comply with statutory HMRC tax laws.
4. Special Protocol for Before-and-After Photos
Our cleaning personnel take interior photographs of your property to verify job quality and log pre-existing conditions. We enforce strict privacy rules regarding this visual data:
Anonymisation: Cleaners are trained to actively avoid capturing highly personal items, including family photographs, financial documents, prescription medicine bottles, and mail.
Surface Focus: Photos focus strictly on surfaces, such as carpets, ovens, worktops, and bathrooms.
No Marketing Without Consent: We will never use photographs of your home interior on social media or our Squarespace site unless you sign a separate, explicit media release form.
5. Third-Party Software and Data Transfers
We do not sell your data. Your information is strictly shared with the following digital processors to fulfill our services:
Squarespace: Hosts our website infrastructure and logs initial visitor analytics.
Fillout: Captures and securely transfers your detailed intake forms and property instructions to our team.
Stripe: Processes all digital card transactions securely. We do not store raw credit card numbers on our own systems.
QuickBooks: Manages our legal accounting, invoicing, and HMRC tax record tracking.
Some of these platforms store data on servers located outside the UK (such as the US). We ensure they utilize UK-approved Standard Contractual Clauses (SCCs) or the UK Extension to the EU-US Data Privacy Framework to maintain an equivalent level of data protection.
6. Data Retention Protocols
We only retain your personal data for as long as necessary to fulfill the purposes we collected it for:
Property Access Codes: Stored securely within our digital systems and only visible to staff on the day of your clean.
Photographic Data: Automatically purged from our active operational storage within 30 days of job completion, unless held longer to resolve a damage or service dispute.
Financial Records: Retained for 6 years following the end of the financial year to comply with UK statutory HMRC tax laws.

Under UK data protection laws, you hold clear rights regarding your data:
Request access to your personal data via a Data Subject Access Request.
Request correction of any incomplete or inaccurate data we hold about you.
Request erasure of your data, provided we do not have an overriding legal requirement (such as HMRC rules) to keep it.
Object to the processing of your data where we are relying on a legitimate interest.
To exercise any of these statutory rights, please contact our team directly at contact@freshluxecleaning.co.uk.
